Information we collect

Account and contact information, such as name, email address, password credentials, access requests, and communications you send to us.

Phone number registered for caller ID, which links practice calls placed from your mobile or landline to your account and enables the phone training line.

Training content you create or submit, including personas, ICPs, prompts, scenario details, notes, practice call recordings, transcripts, scoring reports, and coaching outputs.

Usage and device information, such as pages viewed, session activity, browser type, approximate location derived from IP address, and diagnostics used to keep the service reliable.

Payment or billing information if paid access is introduced. Payment details may be processed by a payment provider rather than stored directly by Cold Calling Practice.

Voice processing and AI analysis

Cold Calling Practice is a voice-first training tool. When you conduct a practice session — through the browser or the phone training line — your voice is recorded for the purpose of generating your coaching report, maintaining your call history, and enabling playback.

Voice audio is processed by ElevenLabs for speech synthesis of the simulated buyer. Your recorded voice and transcripts are processed by AI providers including OpenAI, Anthropic, and OpenRouter to produce transcription, call scoring, stage analytics, objection breakdowns, and coaching outputs.

By initiating a practice session, you consent to the recording of the session, including your voice, for these purposes. You may review, play back, and request deletion of recordings through your account or by contacting us.

Coaching scores and reports are generated algorithmically and may not reflect every nuance of your performance. They are training tools, not objective assessments. Do not use them as the sole basis for employment, compensation, or performance evaluation decisions.

How we use information

To provide the training simulation, generate call reports, sync browser and phone practice sessions, and maintain your account history.

To improve product quality, safety, reliability, analytics, onboarding, support, and the realism of simulated buyer interactions.

To communicate about access, product updates, support requests, security notices, and administrative messages.

To protect the service from abuse, enforce our terms, debug issues, and comply with legal obligations.

How we share information

We share information with service providers that help us operate the product. Our current AI and voice infrastructure providers include ElevenLabs (voice synthesis), OpenAI, Anthropic, and OpenRouter (AI analysis, transcription, and coaching outputs). We also use providers for hosting, authentication, analytics, communications, and customer support.

Each third-party provider is subject to appropriate data processing agreements and their own privacy practices. We encourage you to review their policies if you have questions about how they handle data.

We may disclose information if required by law, to protect rights and safety, or in connection with a business transaction such as a merger, acquisition, financing, or sale of assets.

We do not sell personal information. We do not use your practice calls or account data to contact real prospects.

Call recordings, transcripts, and training data

Cold Calling Practice is a simulation tool. Practice calls are with simulated buyers, not real prospects.

Recordings, transcripts, notes, personas, and reports may contain business-sensitive information you choose to provide. Do not submit confidential prospect, customer, or employer information unless you have the right and permission to do so.

We may use de-identified or aggregated information — not linked to you personally — to understand performance trends, improve product features, refine AI coaching quality, and monitor service health.

Data retention and deletion

We keep information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, prevent abuse, and maintain business records.

You may request deletion of your account or certain personal information by contacting us at hello@coldcallingpractice.com. Some information may be retained where required for legal, security, backup, or legitimate business purposes.

European Economic Area, UK, and Switzerland

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, additional rights and protections apply under the General Data Protection Regulation (GDPR) and equivalent laws.

Lawful bases: We process your personal data to perform the contract you enter into when you use the service (e.g., providing practice sessions and reports), to pursue legitimate interests in operating and improving the service (e.g., analytics, security, product development) where those interests are not overridden by your rights, and with your consent where required.

Your rights: You have the right to access, rectify, and erase personal data we hold about you; to restrict or object to certain processing; to receive your data in a portable format; and to withdraw consent at any time where processing is based on consent. You also have rights related to automated decision-making — coaching scores involve automated analysis; you may request human review of decisions that significantly affect you.

Data transfers: Your data may be transferred to and processed in the United States and other countries outside the EEA. Where we transfer data internationally, we rely on adequacy decisions, standard contractual clauses, or other appropriate safeguards.

Supervisory authority: You have the right to lodge a complaint with your local data protection supervisory authority if you believe we have not handled your personal data in accordance with applicable law.

You can choose what personas, notes, prompts, and scenario details you submit.

You can request access, correction, export, or deletion of personal information by contacting us.

You can control cookies and similar technologies through your browser settings, though some features may not work properly without them.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet service can guarantee absolute security.

Minimum age

Cold Calling Practice is intended for users aged 16 and over. We do not knowingly collect personal information from anyone under 16. If you believe we have received information from someone under 16, please contact us so we can delete it.

Governing law

This Privacy Policy is governed by the laws of the State of California, United States, without regard to conflict of law principles. Nothing in this policy limits rights you may have under applicable data protection law in your country of residence.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and provide notice where appropriate. Continued use of the service after updated terms become effective constitutes acceptance of the revised policy.
